
Federal Apostille Mail-In Instructions
FederalApostille.org provides structured assistance for documents that must be authenticated or
apostilled by the U.S. Department of State in Washington, DC. If you are mailing documents to
our office, please follow the instructions below carefully to avoid delays or rejection.
All mail-in submissions are reviewed for compliance before federal submission.

What to Include in Your Mail-In Package
Your package must include the following:
1. Original Documents

Original federally issued documents or

Certified copies issued by the appropriate federal agency

Documents must be clean, legible, and unaltered
Photocopies, scans, or unofficial copies are not accepted unless explicitly permitted by federal
rules.
2. Required Cover Letter
Include a printed letter with all of the information below:

Complete return mailing address

List of documents being submitted

Country where the documents will be used

Whether translation services are required
If the destination country is non-Hague, indicate whether embassy legalization is
required. Incomplete letters may delay processing.
3. Translation & Embassy Legalization (If Applicable)

If the destination country requires translation, indicate this clearly

If the destination country does not participate in the Hague Apostille Convention,
embassy or consular legalization may be required after federal authentication
